Microsoft Exchange Server - The Email System
Exchange uses the principal of a Mailbox, this is separate from an email address. A mailbox may have none or many email addresses assigned to it. The mailbox not only holds your emails, it has calendar, contacts, tasks, notes. Each mailbox can be uses by multiple users at the same time, directors may allow sectaries to manage their mail and calendar.
Mailboxes can be accessed remotely using Outlook Web Access, this is a website that looks just like Microsoft Outlook. This website can be accessed from the Internet, so users at home or in a different office can still access outlook features. Mailboxes can also be accessed from most mobile phones (you need a Internet Bandwidth as part of your mobile contract) using the IMAP and TLS security, to deal with emails on the move.
Share point
If you have a Small Business Server and don't use share point, you are probably missing out. Share point is designed as an internal company website. Its major benefits is as the name suggests for shared information. From HR documents, company policy, forms, to shared calendar, lists, task, contact, forms and surveys (e.g. Reported IT faults list). You can create separate sites for departments, projects, or the whole company.
Roaming profiles
These have been around since the early days, roaming profiles give the duel benefit of allow the user to log into any network computer, and all the users icons, settings, are always exactly the same. No matter which computer you use, your icons on the desktop are yours, your outlook is yours, your favourites in Internet Explorer are yours. If one machine is fault the user can use another without the need to setup anything, its exactly the same. The other advantage is that because the information is always the same, should the users PC break, never to work again, they don't loose any work or documents; its all automatically backup and protected.
Synchronised folders
This is very useful especially for laptops, if you have a folder on the server you can access on your laptop, say a P drive. Synchronised folders keeps a duplicate copy of all those files on the laptop. When your not in the office, working from home or at a customers, instead of that P drive being offline as your not connected to the network. Its now appears online and you have access to all those files. When your next in the office, the computer automatically updates any changes that may have been made. This also provides a good failsafe should your server go down, people can still access documents on the server because of the hidden duplication that takes place.
Volume Shadow Copy
Supposing you access a folder on the server on your pc, say a P drive, with volume shadow copy, if you right click on a file and choose properties you have a version tab, a user can undelete or restore to any one of several previous versions without needing to call your technical support to restore a file from the backup.
